Conditions of your stay
Booking terms
Your reservation at Napia Bay Lodge constitutes acceptance of these terms and conditions in full. All bookings must be confirmed in writing, and payment is required to secure your dates. We reserve the right to refuse any booking that does not align with our venue standards or policies. Rates quoted are per night for accommodation or per event for wedding packages, and are subject to change without notice for dates not yet confirmed. A deposit equal to thirty per cent of the total booking value is required at the time of reservation, with the balance due fourteen days prior to arrival. Failure to remit payment by the due date may result in automatic cancellation of your booking.
Accommodation stays
Guests booking accommodation agree to occupy rooms only as registered and for the duration specified. Check-in occurs at three o'clock in the afternoon, and check-out at eleven o'clock in the morning. Early check-in and late check-out are available upon request and subject to availability, with additional charges applied accordingly. Guests are responsible for the condition of their room and all furnishings during their stay. Any damage beyond normal wear and tear will be charged to the guest's account. Smoking is strictly prohibited in all indoor areas; designated outdoor smoking zones are available. Pets are not permitted without prior written consent from management.
Wedding events
Wedding and event bookings include the venue hire for the specified date and time only. Additional services such as catering, photography, and florals are arranged separately and are subject to individual vendor agreements. Napia Bay Lodge is not responsible for the performance or conduct of external vendors. The client is responsible for ensuring all vendors comply with our venue policies and carry appropriate insurance. Events must conclude by midnight unless prior written arrangement has been made. Excessive noise, damage to property, or violation of conduct standards may result in immediate event termination without refund.
Cancellations
Cancellations made more than sixty days prior to the booking date will receive a full refund of deposits paid. Cancellations made between thirty and sixty days prior will forfeit fifty per cent of the deposit. Cancellations made within thirty days of the booking date will forfeit the entire deposit and any payments made. In the event of cancellation by Napia Bay Lodge due to circumstances beyond our control, guests will be offered an alternative date or a full refund. Force majeure events, including but not limited to natural disasters, pandemics, and government-imposed restrictions, exempt Napia Bay Lodge from liability for cancellation.
Guest conduct
Guests agree to conduct themselves in a manner befitting a luxury establishment. Disruptive behaviour, excessive alcohol consumption, or any illegal activity will result in immediate removal from the premises without refund. Guests are responsible for any damage caused by themselves or their party members. Theft or removal of lodge property is prohibited and may result in legal action. Napia Bay Lodge reserves the right to refuse service to any guest whose conduct violates these terms or poses a risk to other guests or staff.
